Numbered in order of reference — the rule people get wrong

The second rule carries more weight than its wording suggests. Elements are numbered in the order the text refers to them, not in the order they happen to sit on the page. If your text discusses the response-rate table before the demographics table, the response-rate table is Table 1 even if it appears lower down.

The source gives its examples with a semicolon between series — "Table 1, Table 2; Chart 1, Chart 2; Map 1, Map 2" — which is the whole convention in one line. Each type carries its own consecutive series. You do not have a Table 1 followed by a Chart 2. You have Table 1 and Table 2, and separately Chart 1 and Chart 2.

Caution

Where this goes wrong in practice

It goes wrong during revision, not during drafting. You move a section, and the numbering is now out of order against the text; or you cut a table and every subsequent number is stale.

The source gives no advice on this. In practice, use your word processor's cross-reference feature rather than typing numbers, and renumber as the last action before you submit — never in the middle, because you will do it twice.

Caption and heading — a requirement the source does not explain

Two labels, one element, no distinction drawn

The fourth rule requires each element to be "complete with caption under the figure, table, chart, etc." and then adds "A heading should be added." It does not say where the heading goes, how it differs from the caption, or whether both are always required.

This matters because the two dominant academic conventions disagree with each other, and the source names neither: in one, tables carry a label above and figures carry a caption below; in the other, everything carries a caption below. Both are in wide use.

The supplied material cannot settle it for you. Take the convention from your institution's thesis format requirements, which will specify it, and apply it uniformly.

The one worked example anywhere in the supplied material is a pair of tables reproduced from a textbook chapter — and both carry their captions above, not under, in direct breach of the rule stated five slides later.

Standing alone, and being referred to

The fifth rule and the second rule pull gently against each other, and the source states both flatly without noticing.

Rule 5 — stand on its own

  • Each element must be intelligible "separate from the text"
  • Implies a caption that says what the element shows, not merely what it is
  • Implies units, sample sizes and dates inside the element
  • The test: could a reader who opened the thesis at that page understand it?

Rule 2 — refer to it in the text

  • Every element must be referred to, in numbered order
  • Implies the text does interpretive work the element does not
  • The element carries the data; the text carries the reading
  • The test: does the text tell the reader what to look at and why?

How the two rules actually fit

The source does not reconcile them; this reading is the library's. The element must be self-explaining — anyone can tell what it shows. The text must be directing — it tells the reader which part of it matters to your argument.

So a table caption says "Response rates by department, 2024 survey, n = 214". The text says "Table 3 shows the response rate falling below thirty per cent in two departments, both of which had been restructured during the collection window." Neither sentence could do the other's job, and neither is redundant.

Separating elements from appendix material

The third rule applies only if you place your elements at the back. It requires them to be clearly distinguished from appendix materials such as raw data — because a chart filed among transcripts reads as working rather than as a finding, and will be treated accordingly.

If your elements go at the back

  1. Keep them in one block, before the appendices

    A list of figures and a list of tables in the front matter, then the elements themselves as a distinct section, then the appendices.

  2. Label the sections differently

    "Tables" and "Figures" are not "Appendix A". If your format requirements make them appendices, give them their own lettered appendix rather than mixing them into one.

  3. Keep raw data separate again

    Raw data is a third category, distinct from both your finished elements and your instruments.

  4. Refer to all of it from the text

    The requirement to refer in numbered order does not relax because the element moved to the back.

What else belongs in an appendix is not stated here

This is the only place in the supplied material that touches the boundary between report and appendix, and it names one example: raw data. No criterion is given.

The library's appendices and research instruments supplies the boundary from observed practice in examined theses, where it ranges from a hundred and forty pages of field data to a quarter of a thesis given over to questionnaires.
